Smart Drawers is a Web-based compliance system capable of handling your digital document storage and usage.
As digitally stored documents, your important files are readily accessible to you and secure from
loss or damage as they are routinely backed up to multiple secure geographic locations.
This tour of Smart Drawers will highlight some of the major functions and conveniences.

The Home Tab is a convenience page with links to get started using Smart Drawers.
There are many ways to learn more when using Smart Drawers. The "User Guide" link is a detailed user manual available for all Smart Drawers questions, and the "Help Tips" are also available for short descriptions of specific page items.
The Employees Tab is where Documents can be viewed and managed per Employee.
All Employee documents are retained and can be viewed, but the Employees that are currently working can be viewed by clicking "Active Employees".
Online Applicants are listed here and then can be changed to Active Employees after they are hired.
The Edit Employee button is on the left most column of each Employee and looks like a pencil and paper.
By clicking this, each Employee's details can be viewed and edited.
Also notice the "Add New" link where new Employees can be added.
This detailed view of an Employee can be edited as needed for Updating an Employee's information.
'Update Photo' will allow you to add or change the Employee photo. Click 'Edit' to modify the Personal Info such as their name.
The Employee's Job Type and Location are key to knowing what their compliance needs are based on what and where their job is.
Use 'Update Desginations/Specialties' to assign a Job Type to the Employee and click "Update Employee's Locations" to assign a Location to the Employee.
The tabs at the bottom of the Employee file show the details of their Compliance.
All Compliance items required of the Employee are listed succently, plus the details of these items can also be seen in detail.
It is easy to see which items this employee still needs to complete. Also the expiration date of items indicates which they will soon need to update.
The Documents and Testing tabs are similar in showing which items the Employee has
completed, although these are not Compliance items and so they do not affect the
compliance of the Employee.
Uploading documents associated with each Employee can greatly reduce the amount
of inefficient paper files and greatly increase the efficiency of access to these
Online Testing can be done by each Employee to meet both the governement and institutional
test requirements for the Employee's position.
With the Edit link, the details of a Compliance item or Document can be viewed.
Incredifax is the interface for digitizing documents with a fax machine.
All shown pages under "Incoming Faxes" have already been faxed to the server and
are waiting to be filed. To file a set of pages that have been faxed, just click
on the image of the page.
The faxed pages can now be easily filed away from the Staging Area by selecting
the pages and labeling them.
Once the document is filed, it can be viewed from the Employee's record or under
the File Cabinet.
Scannex is a program that can be downloaded in order to use a Scanner to digitize
This allows for clear, color documents that are uploaded directly to your File Cabinet.
Once the document has been uploaded from Scannex, it can be viewed in the Employee's
record or under the File Cabinet.
The file cabinet is a way to browse through all your documents, but mostly is useful
for searching for a document by a few keywords.
The directory structure is easy to navigate and the selected document can be viewed.
Reports are available to gather pertinent information from a set of documents.
These reports can be viewed, printed and even emailed to make the most of the data
collected in your File Cabinet.
Automatic emails of reports can be set up on recurring intervals for multiple recipients.
The Administration Tab is for customizing the site to your needs.
The color scheme for the whole site and the logo on the Home Tab can be customized
to your taste.
Also setup information such as Locations, Job Types and Document Types are set up
here. By clicking on Job Types, you can see how easily this can be modified.
Security levels on documents can be limited by setting the users who can view them by Location and Document Type.
Viewed here are all the Job Types that are default and user added. It is simple
to add another Job Type that suites your business by just clicking "Add New".
Online applications are easy to setup and can be linked from your own home page.
Information from the online application is used to automatically generate an I-9 and W-4.
